Most organizations don’t struggle to create training content; they struggle to deliver it in a structured, scalable, and engaging way.

In Confluence, training materials often end up scattered across pages, inconsistently formatted, and difficult to navigate. As content grows, users lose visibility, and administrators lose control over structure and consistency.

Smart Courses for Confluence solves this by turning Confluence into a structured training system where teams can build a fully customized learning catalog, define clear Learning Paths, and control how content is discovered, filtered, and consumed.

<details class="wp-block-details is-layout-flow wp-block-details-is-layout-flow">
TL; DR

Most training content fails due to a lack of structure, not quality. In Confluence, content is often scattered and hard to navigate, making it difficult for teams to learn effectively.

Smart Courses for Confluence transforms this into a structured Confluence training platform by organizing content into courses, exams, and Learning Paths that Confluence users and learners can follow.
With a customizable training catalog, Confluence teams can filter by category, difficulty, language, and status, making training easy to discover and scale.

Complementary tools like Rovo AI, Refined sites, Scroll Documents, Aura, Composition Tabs, and the Synced Block Macro enhance search, structure, and usability across the Confluence environment.

</details>

Building a structured training system

The main shift Smart Courses introduces is moving from unstructured documentation to a designed learning environment.

Instead of isolated pages, training content is organized into structured learning elements, including courses, exams, Learning Paths, and a centralized catalog. This allows organizations to design training intentionally, ensuring consistency across teams while maintaining flexibility to accommodate different learning needs.

As a result, training becomes easier to manage, easier to scale, and significantly easier for users to follow, since content is no longer fragmented but part of a clear learning journey.

Building a customized training catalog

One of the most important aspects of delivering a strong training experience is customization.

Smart Courses allows teams to customize its catalog views based on their specific needs. The catalog can be adapted to reflect internal structures, training priorities, and audience segmentation.

This flexibility is essential when thinking about how to build a learning system in Confluence that scales across teams and departments.

Filters

Discoverability is where most training systems fail and where Smart Courses delivers the most impact.

The catalog includes a powerful filtering system that allows learners to find content quickly based on:

Type (courses, exams, Learning Paths)

Category

Difficulty

Language

Status (assigned, ongoing, done, and favorites)

These filters transform the catalog into a dynamic discovery tool. Instead of searching manually, learners can navigate training logically and efficiently.

This directly addresses the core issue: making training content not just available, but easy to find.

Beyond structure: customizing the training experience

Customization in Smart Courses for Confluence goes beyond organizing content; it defines how training is experienced.

Teams can brand the catalog with logos and titles, and add announcement messages (info, note, or warning) to guide users directly within the interface. This transforms the catalog from a simple page into a dedicated training environment.

Administrators can also control how content is prioritized by setting default sorting and featuring up to 20 courses, ensuring the most important training is immediately visible.

On the visual side, course cards can be customized to show or hide specific information, while layout settings such as thumbnail size and scaling keep the catalog clean and consistent.

At the same time, categories and difficulty levels bring structure to the experience. Categories can be created without limitation, allowing teams to organize content by topic, department, or training objective. Difficulty levels, defined up to ten levels, introduce a clear sense of progression by indicating course complexity.

Together, these capabilities turn the catalog into a structured, branded, and fully controlled training experience, not just a list of content.

Improving discovery, structure, and learning experience with ecosystem tools

Beyond Smart Courses itself, the training experience becomes more powerful when supported by complementary tools that enhance the Confluence environment.

These tools do not directly integrate with Smart Courses, but they improve the broader environment in which training content is created, accessed, and experienced.

Rovo AI by Atlassian improves content discovery by helping users surface relevant training materials and documentation through intelligent search and contextual recommendations across Confluence and connected apps. Instead of relying solely on manual navigation, users can ask natural queries and quickly find useful knowledge across their organization.

Refined sites by Refined transforms Confluence into a fully branded training portal by improving navigation, layout, and overall user experience. This creates an environment that feels like a purpose-built training platform rather than a traditional documentation space, which increases engagement and usability.

On the content-structure side, scroll content manager by K15t helps teams manage training documentation in a scalable, consistent way. It ensures that content remains properly structured, version-controlled, and easy to maintain as training programs evolve.

To reinforce consistency, Synced Blocks Macro for Confluence allows teams to reuse content across multiple training pages while keeping it synchronized.

For presentation and usability, Aura Content Formatting Aura Apps (Seibert – appanvil) improves the visual structure of training content by introducing layout components that enhance readability and reduce cognitive load, making learning materials easier to consume.

Finally, Composition Tabs by Appfire for Confluence helps organize complex content into structured sections using tabs, allowing learners to navigate information more easily without being overwhelmed.

Together, these tools enhance the broader Confluence environment in which Smart Courses operates, improving discovery, structure, consistency, and usability around the training experience.

Confluence tables work until they don’t.
As KPIs grow, data gets messy, duplicated, and outdated.
Smart Tables turns static tables into dynamic datasets, so teams can track, filter, and report from a single source of truth.

The post Confluence KPI tracking issues and how to fix them first appeared on Creativas.

Most teams start using Confluence tables with high hopes. They create pages to track KPIs, monitor performance, and share updates across teams. At first, it works.

But over time, things break down.

Data gets outdated, pages get duplicated, and metrics such as KPI lose consistency. Eventually, teams move their tracking back to spreadsheets.

This isn’t a team problem. It’s a tooling gap.

And it becomes especially visible as organizations try to scale Confluence KPI tracking and project management in Confluence.

The problem with native Confluence Tables

For some teams, a typical KPI table in Confluence looks like this: rows for campaigns or initiatives, columns for owners, deadlines, statuses, and metrics. It’s a reasonable starting structure. But the moment the dataset grows, the cracks appear fast.

Native Confluence tables offer limited filtering and grouping capabilities. You can’t easily filter by owner or status, group by team or priority, or dynamically sort large datasets. Updates rely entirely on people remembering to come back and edit the page.

So teams compensate in predictable ways, duplicating pages for different views, exporting to spreadsheets, and maintaining multiple versions of the same dataset just to answer simple questions.

Smart Tables: a structured layer inside Confluence

Smart Tables addresses the root limitation directly. Rather than treating Confluence pages as documents with embedded tables, Smart Tables turns those tables into interactive, structured datasets without requiring teams to leave the workspace.

The shift sounds subtle. Its effects are not.

Filtering
Each stakeholder sees only their slice of data, by team, status, quarter, or priority. What makes this powerful is that filters are persistent, reusable views built on top of a consistent schema, so they never break and always reflect live data. One table replaces what used to require multiple duplicated pages, each drifting out of sync.

Grouping solves this by organizing data into meaningful categories on the fly. Group by team to see how each department is performing at a glance. Group by status to instantly separate what’s on track from what’s at risk. The data doesn’t change just how you navigate it.

Sorting brings them to the surface instantly. Sort by lowest performance to identify risks before they escalate. Sort by highest impact to highlight wins worth sharing. Sort by deadline to stay ahead of what’s coming. Any field, any direction, actionable in seconds.

The foundation of effective Smart Tables tracking is a consistent data structure. Each row represents a single unit of measurement: a campaign, a sprint, or a product initiative. Each column is a defined, standardized field: metric name, owner, team, status, priority, reporting period, performance value.

When every row follows the same schema, the entire table becomes a queryable dataset; that consistency is what transforms a table from a formatted list into a system.

The Atlassian Teamwork Collection: tools becoming a system

With the Atlassian Teamwork Collection, the company is making a deliberate architectural shift: away from individual apps used side by side toward a unified system where planning, documentation, and execution are deeply connected.

This reflects something real about how work actually happens. A decision made in a Confluence page triggers a project tracked in Jira. A sprint outcome updates a KPI that lives in a doc. When tools are isolated, context is lost at every handoff. The Teamwork model is designed to close those gaps.

“The value of the Atlassian Teamwork approach depends on one critical factor: data consistency across tools. Smart Tables reinforces this by serving as the structured layer within Confluence, keeping everything aligned.”

Even within a better-connected Atlassian ecosystem, Confluence had a specific problem: the moment documentation became operational, tracking deliverables, monitoring KPIs, and managing live project data, its tables became a liability. Static by default, prone to drift, dependent on manual exports. The Teamwork vision needed Confluence to do more.

The bigger shift: from documentation to operations

Together, Smart Tables and the Teamwork Collection represent a broader transformation in how teams manage work.

Before

Single source of truth

Manual exports

Native reporting

Inconsistent KPIs

Connected workflows

Reporting consistency, one of the most persistent pain points in project management, gets addressed at the source. KPIs are defined once in a structured format in Confluence. Every stakeholder sees the same data in the same format. Reports are generated from the live source, not assembled from exported fragments.

Just as importantly, this shift doesn’t require teams to change how they work inside Confluence.

Smart Tables works effectively with native Confluence macros and elements, including smart links, attachments, code snippets, decision macros, and user mentions. Tables remain fully integrated with the rest of the page, whether it’s linking to a Jira issue, displaying media, or exporting to PDF.

What this means in practice

A team lead filters the KPI table in Confluence to view only their team’s metrics. A manager groups data by status to spot risks, while an executive sorts by performance to identify priorities before a review. No exports, no duplicate reports, no need to search for the latest version.

This is the experience that Smart Tables enables and that the Atlassian Teamwork Collection is designed to support.

Confluence KPI tracking isn’t about adding more tools or pages. It’s about making existing data structured, consistent, and interactive, with Smart Tables providing the foundation and Atlassian delivering the system that connects it all.

The post How to automate onboarding with monday.com AI workflows and Smart Courses LMS? first appeared on Creativas.

Most onboarding processes don’t fail because of bad planning. They fail because everything depends on someone remembering to do the next step.

Today, that problem is even more visible. Teams are becoming leaner, expectations are higher, and new hires are expected to get up to speed faster than ever. There’s less room for delays, missed steps, or inconsistent training.

If you’ve ever managed onboarding, you’ve probably seen how easily things can slip. A task gets delayed, training isn’t assigned on time, or follow-ups depend on manual reminders. Even with a clear plan, execution becomes inconsistent.

That’s where monday.com starts to make a difference. It brings structure to onboarding by turning it into a workflow where every step is tracked, assigned, and visible. Instead of relying on memory, teams can rely on a system.

But even with that structure in place, onboarding still lacks the extra layer that makes it truly effective.

How does monday.com help you manage employee onboarding?

Onboarding tends to get messy faster than expected. Tasks are spread across emails, documents, and various tools, making it easy for things to fall through the cracks.

That’s exactly where it comes in. It gives you a way to organize onboarding into a clear workflow where every step is assigned, tracked, and visible. You can see who is responsible for what, what’s been completed, and what still needs attention, all in one place.

Why does onboarding need more than tasks and items?

Onboarding isn’t just about checking off tasks. It’s about helping new hires understand how things actually work.

They need to learn processes, tools, and expectations, which usually means going through structured learning modules. Without that, even a well-organized onboarding process can leave people confused or dependent on constant support.

The challenge is that while monday.com is great for managing workflows, it doesn’t natively deliver training or show how someone is progressing and performing through it. That’s why many teams end up using separate tools or manual tracking, which brings back the same problems onboarding was supposed to solve.

How does Smart Courses LMS fit into monday.com?

This is where Smart Courses makes a real difference. It adds that learning layer directly inside monday.com, so training becomes part of the same workflow rather than something separate.

What makes this especially powerful is that Smart Courses doesn’t introduce a new interface or external system. Instead, it uses the same board structure, navigation, and visual design that teams already use in monday.com. Everything feels familiar from the start, which means there’s no learning curve and no need to switch between tools.

Because Smart Courses is built on top of the same board logic, you can use monday.com’s native capabilities directly within your training setup. This includes creating workflows, triggering automations, and leveraging AI automations to handle repetitive actions like assigning courses, updating statuses, or sending reminders.

Course creation follows the same intuitive approach as any other board in monday.com. You can build learning modules by combining different types of content, such as videos, documents, and assessments, and organizing them into structured sections that guide learners step by step. Everything lives within the item view, which serves as a dedicated training piece for each course.

As users go through their training, their activity is captured automatically. Instead of relying on manual tracking, teams can use course insights to see progress, completion, and performance directly within monday.com.

The result is a system where onboarding doesn’t just happen alongside your workflows, but inside them.

A simple onboarding flow using monday.com and Smart Courses

Let’s look at what onboarding actually looks like when everything is connected and automated.

It starts the moment a new employee is added. Instead of having someone manually assign training, the system immediately assigns the appropriate onboarding courses. The new hire doesn’t have to wait or ask what to do next, because everything is already in place from day one.

As they go through their training, course insights give visibility into their progress. You can quickly understand whether the onboarding is moving forward or if someone is falling behind, without needing to check in manually.

At the same time, onboarding content doesn’t stay static. When a course is updated and its status changes from draft to published, it is automatically assigned to the right users. This ensures that every new hire always receives the most up-to-date training without additional effort.

And because people get busy, reminders are sent automatically, and users will be notified. Instead of managers chasing employees, the system keeps things moving on its own.

Why are teams moving toward automated onboarding?

The shift toward automated onboarding isn’t only about scaling teams anymore. In many cases, teams are becoming leaner, and expectations from each new hire are higher than ever.

Companies are investing heavily in AI and automation, sometimes reducing headcount, but that makes onboarding even more critical. Every new employee needs to be productive faster and equipped with the right, up-to-date skills from day one.

This is where onboarding can no longer rely on manual processes. When training depends on follow-ups, scattered materials, or inconsistent delivery, it slows down time to productivity and creates gaps that teams can’t afford.

By combining monday.com workflows with Smart Courses and automations, onboarding becomes a system that ensures every hire receives the same structured training without additional effort. Instead of managing onboarding step by step, teams can rely on a process that runs consistently and adapts as content evolves.

In a context where companies are optimizing resources, investing in people remains one of the most important decisions. Automated onboarding ensures that investment is not only made, but fully realized.

After a year, most Confluence spaces look the same: outdated pages, copied spreadsheets, inconsistent terminology. The issue isn’t a lack of effort. It’s that Confluence was built for writing and organizing, not for managing living data or enforcing shared language.

That’s the gap Smart Tables and Smart Terms close.

Smart Tables gives structured data a functional home inside Confluence.

Smart Terms ensures terminology is defined and consistent across pages.

Used together, they turn Confluence from an archive into a working knowledge system.

What Confluence does well and where it stops

Confluence excels at documentation. It’s a collaborative wiki where teams capture decisions, brainstorm ideas, and store information. Spaces and pages make it easy to organize work, and integrations with tools like Jira keep everything loosely connected.

But when your documentation becomes operational, Confluence shows its limits. Tables in Confluence are fine for static content, but you can’t filter, sort, or calculate within them. If you need to slice data by priority or generate a quick chart, the answer is usually “no.” Teams end up exporting to spreadsheets, and those spreadsheets become the new source of truth while Confluence pages go stale.

Teams often try to address this with glossary pages, tooltips, or expand macros. These solutions can work temporarily, but they rely on manual linking and individual page authors remembering to apply them. Over time, definitions drift, duplicates appear, and terminology becomes inconsistent across spaces.

Smart Terms solves this by introducing a centralized terminology layer for Confluence. Instead of defining terms manually on individual pages, teams maintain a single glossary in which each term includes an official definition, synonyms, and related documentation. Smart Terms then automatically detects these terms across pages and highlights them with consistent tooltips. Because the definitions are managed in one place, updating a term once updates it everywhere, ensuring that teams across the organization use the same language and understand the same meaning.

This is the ceiling: Confluence captures knowledge well. It doesn’t operationalize it at scale. Smart Tables extends Confluence’s data capabilities. Smart Terms extends language governance.

Use case: Transforming onboarding with Smart Tables and Smart Terms

Consider how a growing technology company uses Confluence to onboard new employees. Before adopting Smart Tables and Smart Terms, the onboarding process looked like this:

A long page titled “New Hire Tasks” listed steps like “Set up your laptop,” “Complete security training,” and “Read the architecture runbook.” Managers copied this list from a spreadsheet, so some formatting broke, and deadlines and assignees disappeared.

Acronyms such as “HLD,” “QA,” and “SOC2” peppered the document with no explanation. New hires had to ask someone or search the wiki, hoping to find a page that defined them.

Managers couldn’t see who had completed which tasks without reaching out individually, and any updates had to be made in multiple places to keep the spreadsheet and the Confluence page aligned.

Step 1: Converting the task list into a Smart Table

The team decided to turn their New Hire Tasks page into a Smart Table. Instead of a static list, they created a structured table with columns for the task description, the responsible person, due dates, status, and priority. Each column used the appropriate field type dates for deadlines, a user field for assignees, and a status field for tracking progress. Because the data was now structured, managers could filter tasks to see which ones were overdue or assigned to specific departments. They could also sort tasks by priority and generate quick reports without leaving Confluence.

Step 2: Defining internal language with Smart Terms

While setting up the Smart Table, they noticed that many tasks referenced specialized terms like “SOC2 training,” “HLD review,” and “MFA enrollment.” To avoid confusion, they compiled these terms into a Smart Terms glossary. Each term included a clear definition, a link to the relevant policy or documentation, and, where appropriate, synonyms or acronyms so that different variations of the same concept could still be recognized and explained consistently. For example, “HLD” was defined as “High-Level Design document used to describe system architecture and components.” The glossary also provided translations for teams working in multiple languages.

Once the terms were defined, Smart Terms automatically highlighted them in the Confluence page. New hires could hover over “HLD” or “MFA” to see the full definition without navigating away from the task list. Because the glossary was centralized, updating a definition once ensured consistency across all pages and spaces.

Step 3: Enforcing consistency and tracking progress

With Smart Tables handling the structure and Smart Terms handling the language, the onboarding page became a living document. Managers could watch task progress in real time, filtering by status or assignee. New hires understood every term they encountered, and if a new acronym cropped up, it was easy to add it to the glossary and have it highlighted everywhere.

By keeping the task list in Confluence rather than exporting it to spreadsheets, the team reduced duplication and version-control issues. Smart Tables’ built‑in formulas automatically calculated completion percentages, and a pivot view summarized onboarding progress across departments. Meanwhile, Smart Terms maintained the company’s internal language. Even as processes changed, the glossary could be updated once and reflected throughout Confluence.

The result

Combining Smart Tables and Smart Terms turned a confusing onboarding checklist into a structured, self‑explanatory experience. New hires completed tasks faster because they knew what each step required. Managers saved time by filtering and reporting directly in Confluence. And everyone began using the same language, reducing miscommunication and reinforcing company standards.

Bringing it all together

The problem of outdated pages, copied spreadsheets, and inconsistent terminology is not unique to onboarding. Any process that involves structured data and specialized language, from compliance tracking to product roadmaps, suffers when Confluence is used as a static archive. Smart Tables solves the data side, giving you a place to filter, sort, and calculate without leaving the page. Smart Terms solves the language side, ensuring that everyone reads and uses the same definitions across the wiki.

By adopting both, your Confluence space evolves from a collection of documents into a working knowledge system. Data stays fresh, language stays clear, and your team stops losing knowledge to siloed files and context‑less jargon.

Whether you’re managing employee onboarding, compliance training, or professional development, learners need structure and guidance.

That’s why we’re excited to introduce Learning Paths, a powerful new feature in Smart Courses for Confluence that helps organizations design structured learning journeys directly inside their Confluence LMS.

With Learning Paths, training administrators can guide learners step by step, improve training effectiveness, and significantly increase employee training completion rates.

<details class="wp-block-details is-layout-flow wp-block-details-is-layout-flow">
TL; DR

Learning Paths in Smart Courses for Confluence turn scattered courses and exams into clear, guided learning journeys.
By grouping up to 10 courses or exams into a structured path, teams can improve onboarding, compliance, and employee development directly inside Confluence. With flexible sequencing, progress tracking, certificates, and insights, Learning Paths help organizations increase engagement, boost completion rates, and continuously optimize training based on real learner data.

</details>

What are Learning Paths in Smart Courses for Confluence?

Learning Paths let you group up to 10 courses or exams into a single, cohesive learning journey.
You can mix training courses and exams in any order or even build a path made entirely of exams. Instead of learners choosing what to take next, you define the sequence to ensure the right knowledge is delivered.

Each Learning Path is created within a specific Confluence space and follows that space’s permissions, making it ideal for new hire onboarding and department-specific training programs.

Key benefits include:

Structured Learning Paths with clear course sequencing

Centralized training content inside Confluence

Improved learner engagement and progress tracking

Higher training completion and accountability

Why Learning Paths matter for onboarding, compliance, and employee development

Disconnected courses often lead to confusion, low engagement, and incomplete training. Learning Paths solve this by turning individual courses into guided learning journeys.

Perfect for common training use cases:

New hire onboarding programs

Workplace compliance training

Employee development and upskilling

Corporate training and L&D initiatives

By combining self-paced learning with structured progression, organizations can create more effective learning and development (L&D) experiences.

A closer look at the Learning Path editor

Learning Path editor

The Learning Path editor is where paths come to life. After naming your path and selecting a Confluence space, you can add up to ten courses. Courses can be reordered with drag-and-drop, added or removed at any time, and visually enhanced with thumbnails to clearly communicate the learning flow.

[See image gallery at creativas.io]

Learning Path configuration

Configuration settings let you control how Learning Paths are maintained over time. You can manage contributors, add linear progression, define a short description, and set categories, labels, and difficulty level.
These controls ensure Learning Paths remain easy to manage, scalable, and aligned with your training goals.

Learning Path landing page

The Learning Path landing page brings multiple courses together into one guided experience. Learners see the full journey up front, including the order, overall progress, completion status, a brief description of the Learning Path’s difficulty level, and lables.

Learning Path insights

Learning Path insights focus on how learners progress through the path as a whole. Instead of reviewing individual course performance, you get a consolidated view of enrollment and completion across the entire journey either by courses or by learners.

How to get started with Learning Paths and courses in Smart Courses

Ready to transform your employee training from scattered content into a structured learning experience? Here’s how to get started with Learning Paths and Courses in Smart Courses for Confluence.

Step 1: Audit your existing training content

Start by reviewing all your employee training courses already stored in Confluence. Identify:

Which content works best as standalone courses

Which courses naturally belong together in a learning path

Ask key questions:

What should new hires learn first in their onboarding experience?

Which courses act as prerequisites for advanced training?

This audit lays the foundation for learning paths and effective course sequencing.

Step 2: Choose one high-impact training use case

Don’t try to structure everything at once in your Confluence LMS. Start with one critical use case, such as:

New hire onboarding

Compliance training

Core role-based employee training

Decide whether you need:

A Learning Path (up to 10 courses) for a guided learning journey, or

A single, well-structured course for focused training

Launch small, validate the approach, then scale across your training programs.

Step 3: Map the learning journey

Before building in Smart Courses, outline the learning experience:

What is the first concept a learner needs to understand?

Which course or module comes next?

Are there clear course prerequisites?

What does “completion” look like?

This planning step applies to both learning paths and individual courses, making the build process faster and more intentional.

Step 4: Build Learning Paths in Smart Courses for Confluence

Create a Learning Path in Smart Courses:

Add up to 10 courses to a Learning Path

Arrange courses using drag-and-drop sequencing

Add descriptions, labels, and categories for discoverability

Once built, preview the experience to ensure clarity and flow.

Step 5: Test before you launch

Invite 2–3 learners to complete the course or Learning Path. Gather feedback on:

Course order and pacing

Clarity of instructions and descriptions

Overall learning experience

Refine your content based on real learner input, especially for onboarding and compliance training.

Step 6: Share and monitor training progress

Publish your course or Learning Path and assign it to the target audience. Use the training insights dashboard to track:

Course and Learning Path completion rates

Progress through the learning journey

Drop-off points in structured Learning Paths

Use these insights to continuously improve training effectiveness.

Pro tips from our Smart Courses team

Start with solid foundations: Create clear, well-scoped courses and exams, then organize them into Learning Paths that guide learners toward a specific goal.

Design with purpose, not overload: Each Learning Path can include up to 10 courses. You can mix training courses and exams in any order, or build a path entirely of exams. making it ideal for onboarding programs, compliance training, and employee development, structured but never overwhelming.

Combine guided journeys with standalone learning: Use Learning Paths alongside individual courses to give learners both direction and flexibility.

Balance short, focused modules with more in-depth training to keep learners engaged while still delivering meaningful knowledge.

Explain the value of every step: Make it clear why each course exists and how it contributes to the overall learning journey.

Motivate progress with recognition: Certificates and completion milestones help learners stay engaged and feel rewarded along the way.

Refine with data over time: Once your paths are live, use analytics to review performance, spot drop-offs, and continuously optimize course sequencing and structure.

Confluence has become the central workspace for modern teams. It’s where organizations document processes, plan projects, and preserve institutional knowledge. Yet as teams scale and information grows, documentation alone no longer suffices. Pages multiply, spaces become dense, and new team members struggle to understand what truly matters.

The result is familiar: knowledge exists, but it isn’t absorbed. Project documentation is read once and forgotten. Onboarding takes longer than expected. Teams repeat the same mistakes because learning is informal and untracked.

Smart Courses transforms Confluence from a static knowledge repository into an active learning environment, connecting knowledge management, project management, and training in a single, cohesive system.

When knowledge lives in Pages but learning doesn’t happen

Most organizations believe they have a knowledge problem when, in reality, they have a learning structure problem. Confluence spaces are full of valuable information, but employees are left to navigate it on their own. There is no clear learning path, no validation of understanding, and no visibility into who has actually mastered the content.

For knowledge managers, this leads to low retention and inconsistent understanding across teams. For project managers, it creates misalignment, onboarding friction, and dependency on a few key individuals who “know how things work.”

Without structure, knowledge stays passive.

Smart Courses: making learning native to Confluence

Smart Courses introduces a learning layer directly inside Confluence. Instead of exporting documentation to an external LMS, teams build courses using the content they already maintain. Pages become lessons, sections become learning paths, and documentation turns into structured training.

Because everything happens inside Confluence, learning fits naturally into daily work. Employees don’t need another tool, another login, or another system to adopt. They learn where they already collaborate.

This native approach dramatically increases adoption and ensures that learning is not an afterthought, but part of how teams operate.

Strengthening knowledge management through structured learning

Effective knowledge management is not just about storing information; it’s about ensuring that knowledge is understood, retained, and reused. Smart Courses enables knowledge managers to move beyond static documentation by introducing structure and intent.

Instead of expecting employees to read long pages, knowledge managers can guide them through a logical learning journey. Complex topics are broken into lessons, reinforced with quizzes, and validated through assessments. Understanding becomes measurable rather than assumed.

Because courses are built on top of live Confluence content, updates happen naturally. When a process changes or documentation evolves, learning content evolves with it. This keeps organizational knowledge accurate, consistent, and trustworthy.

How Smart Courses supports project management in practice

Project success depends on alignment. Teams need to understand goals, processes, tools, and responsibilities before they can execute effectively. Smart Courses gives project managers a powerful way to ensure that understanding happens early and consistently.

New team members can be onboarded through project-specific courses built directly from project documentation. Instead of long meetings or scattered explanations, they follow a structured learning path that introduces the project context, workflows, and expectations. This shortens ramp-up time and reduces errors.

Smart Courses also helps standardize how projects are run. Whether it’s internal methodologies, compliance rules, or tool usage, project managers can ensure that every team member receives the same training and meets the same standards. Learning becomes repeatable, scalable, and reliable.

Just as importantly, managers gain visibility. They can see who has completed training, who might need support, and where knowledge gaps exist before they affect delivery.

Why an LMS inside Confluence works better

Traditional learning platforms often fail because they live outside the flow of work. Employees forget to log in, content becomes outdated, and adoption remains low. Smart Courses avoids these issues by embedding learning where work already happens.

Because training is built on real documentation and accessed through Confluence, learning stays relevant. Teams don’t duplicate content or maintain parallel systems. Knowledge, projects, and training remain connected.

This results in higher engagement, better retention, and lower operational overhead for both knowledge and project teams.

One platform for knowledge, projects, and learning

Smart Courses connects three critical needs that are often managed separately: documentation, training, and execution. By unifying them inside Confluence, it allows organizations to scale knowledge without losing clarity and to scale projects without losing alignment.

Knowledge managers gain structure and measurability. Project managers gain trained, aligned teams. Employees gain clarity and confidence.

We’re excited to introduce Learning Path, a powerful new feature in Smart Courses for Confluence that helps teams organize learning content, guide learners with purpose, and track engagement more effectively.

With Learning Path, you can bundle courses and exams into a single, structured journey, transforming scattered content into intentional learning experiences. Whether you’re building onboarding programs, continuous training, or upskilling initiatives, Learning Paths help learners see the bigger picture and stay motivated from start to finish.

Create and manage Learning Paths with ease

Learning Paths are intentionally easy to create and scale. Any user with creation rights can build and manage Learning Paths, making content organization more inclusive and collaborative.

[See image gallery at creativas.io]

From the editor, creators can:

Add up to 10 published courses or exams to a Learning Path

Set linear progression

Restrict access when needed

Enable certification

Add contributors and collaborate

This flexible editor experience helps teams build a learning path experience while staying in control.

A clearer Catalog experience

To support discovery, the Smart Courses Catalog has evolved alongside Learning Paths.

Learners will now see:

New filters that make Learning Paths easy to find: switch to change the types between Courses, Learning Paths or show all

Dedicated “Learning Path” tag on cards that clearly distinguish paths from standalone courses or exams

You can now combine the statuses to find the right course

These updates help learners quickly find what they need to start learning.

Learning Path Player

Once learners enter a Learning Path, the Path Player keeps them focused and confident throughout their journey.

With the Path Player, learners can:

Move easily between courses in a Learning Path.

See exactly where they are in the overall journey

Track progress across the entire path at a glance

Learners always know what they’ve completed and what’s coming next without feeling locked into a rigid flow.
Another update in this recent release is that learners can access and download certificates directly from landing pages. This applies to Learning Paths and courses as well.

The post Smart Courses for Confluence new release: January 2026 first appeared on Creativas.

Confluence is where your teams collaborate, document knowledge, and share content. To add structured training and compliance management, Smart Courses for Confluence turns your wiki into a full-featured LMS. The app lets you build courses, quizzes, and certifications directly inside Confluence.

In the latest release, we’ve significantly enhanced the Course Insights dashboard, making learner progress and course versions crystal-clear. Training admins can now instantly see if a learner session is based on an outdated course version, and reports can be broken down by version. These improvements deliver reliable, version-specific analytics that are essential for compliance audits and continuous training.

Enhanced course insights & version tracking

We’ve enhanced the Course Insights section to make tracking learner data clearer and version-specific.

When a new major course version is published, existing learner sessions from older versions are automatically deprecated.

Each course title now shows the latest version and when the course was last saved.

Next to each learner’s name, an icon now shows if their session was completed on an outdated course version. By hovering over the icon, you can see which version they took. Learners can reopen the course player to access the latest version and automatically update their session.

When data is exported to Excel, each course version with submitted answers to questions will now appear on a separate sheet, giving you clearer version-based reporting.

These changes make Insights more reliable, especially for compliance, audits, and tracking ongoing training performance.

Major versions: What counts as a significant update

Not every edit creates a new major version. Smart Courses automatically creates a new major version only when substantial changes are made to the default-language content, such as:

Content edits: Adding, removing, or editing course sections or components in default language.

Reordering: Changing the order of sections or components.

Exam parameters: Updating the minimum pass score.

New SCORM package: Uploading a new SCORM file.

Version restore: Rolling back to a previous version of the course.

Minor edits, such as translations or minor course settings changes, do not trigger a new major version.

When a major update is published, the course card and landing page display a “New Content” tag to notify learners.

Course editing rules & Session protection

To preserve the accuracy of learner data across versions, Smart Courses enforces several editing safeguards once learners are enrolled:

Course type locked: You can’t switch between “exam” and “regular” course types after learner sessions exist. This ensures consistent reporting in Insights.

Quiz integrity: When editing quiz questions that already have learner responses, changing the answer choices may impact existing data.
A warning message will appear before saving, reminding you to be cautious before making these changes.

Certificate protection: If at least one learner has earned a certificate, the certificate feature cannot be disabled in the course editor.
However, the “Only when pass” setting can still be modified.

These safeguards ensure historical results remain intact and reporting stays consistent over time. You maintain a clear audit trail, with edits that could affect past results either restricted or clearly controlled.

Learner view: Update notifications & certificates

Learners will now see a new information panel on the course landing page whenever a new major version of the course is published.
This helps them know when updates are available and ensures they always learn from the most recent version.

Importantly, when a learner completes a course and earns a certificate, that certificate remains linked to the version they completed.
Any new major version published afterward won’t affect their earned certificate or progress.

Why This Matters

These updates give teams better visibility into training activity across evolving course content.
You can clearly see:

Which version did each learner complete?

When and how the course content changed

How updates affect completion rates and results over time

With session deprecation and enhanced version visibility, Smart Courses for Confluence makes learning data more transparent, accurate, and actionable. You can confidently track, manage, and trust your team’s training history even as courses grow and evolve.

Smart Terms is more than just a glossary. It’s a full-fledged terminology management system built for teams that care deeply about clarity, consistency, and cross-department alignment. Unlike simple definition tools or lightweight glossaries, Smart Terms gives you full control over how terms are created, displayed, highlighted, and translated across Confluence, making it a true source of truth for terminology in any organization.

What really sets Smart Terms Apart is its precision and customization. Instead of relying on automatic guesses or generic suggestions, every definition, highlight rule, and translation is intentional and admin-controlled. It doesn’t try to infer meaning it enforces the correct one. Smart Terms gives teams the power to define terms once and apply them consistently everywhere, with complete flexibility over how they appear, who sees them, and how they behave on Confluence pages.

From fine-grained highlight rules to space-level overrides, multilingual glossaries, logographic indexing, and rich definition pop-ups with media, Smart Terms is built for organizations that want reliability and customization, not shortcuts.

Highlighting Engine & Customization

Smart Terms’ highlight engine is highly flexible. You can fine-tune exactly how and where terms are highlighted:

Auto-highlight or manual: Choose to automatically mark all terms when a page loads, or not. A toggle button on each page lets users turn highlights on or off (If disabled by space/global settings).

Visual style: Pick your highlight colors and style, set the background color, text color, and underline/bold/italic style.
You can even add custom CSS for special styling.

Hover vs click: Control interaction by enabling “highlight on hover” or forcing users to click a word to see definitions. (We’ve seen product teams disable hover so users must click, while support teams keep hover on.)

When you hover or click a highlighted term, a definition pop-up appears with all details (term title, definition text, media, related terms, etc.). If a term has multiple definitions (e.g. an acronym vs. a full phrase), users can slide between them in the pop-up. Related terms or synonyms flash briefly to draw attention, helping users explore your custom glossary easily.

Smart Terms supports space-level and user-level rules. Admins can disable highlighting globally or for specific glossaries.

Likewise, each space can override settings: in one real-world example, an “Accounting” space simply turned off all highlighting, while a “Product” space enabled highlighting with a yellow, bold style and disabled hover. Individual users can even disable Smart Terms on their profile if they prefer. This per-space/user flexibility means you can highlight terms differently for each team without affecting others.

Multi-Language & Logographic Support

Smart Terms is built for global teams. You define terms in a default language, then add translations as needed. You can create a new term and immediately choose multiple languages, or add translations later via the term editor. Bulk import of multi-language terms from Excel is also supported for fast setup.

When highlighting, Smart Terms can mark up all translations at once or just the user’s language. For example, if your Confluence pages have content in English and German, you can highlight both English and German terms for a mixed audience.
Or you can choose “only user language” mode: a German user will see only German-term highlights, while an English user sees only English terms.
This is ideal when different groups share pages (e.g. an external audience of mixed nationalities sees all translations, or a multicultural team each sees terms in their own language).

Smart Terms even handles logographic languages (Chinese, Japanese, Korean). It applies language-specific indexing so those terms sort sensibly in glossaries.
For instance, Japanese terms are indexed by gojūon order, Chinese by character stroke count or Pinyin, and Korean by the initial Hangul consonant.
If the app misdetects a language, you can manually fix the index letters. This support means you can build a truly multi-language glossary in Confluence – even for CJK (Chinese/Japanese/Korean) text without hassle.

In addition to translations, Smart Terms supports alternate terms and meanings. Each term can have multiple definitions, synonyms, or related terms. For example, the term Item might have two meanings (“Incident” vs “Ticket” in one example) that users can toggle between.
Related terms link together as a “vocabulary,” so clicking one can flash others. You can attach images, videos, or diagrams to any term, too. In short, Smart Terms becomes your central terminology library: a terminology management for Confluence that covers all languages and complexities.

Use Cases and Benefits

Smart Terms helps teams maintain a single, unified vocabulary across the company while still allowing each department to manage its own terminology. A global glossary can hold the official definitions everyone agrees on, while teams like Product, Support, or Marketing keep space-level glossaries for internal jargon. This setup gives every group the flexibility they need without losing a shared source of truth, maintaining communication clean, and avoiding conflicting definitions.

Highlighted terms also make documentation easier to understand. When someone reads a Confluence page, they can hover over or click a term to instantly see its definition, synonyms, related terms, and even rich media. This reduces confusion during everyday reading and helps new hires settle in faster by allowing them to immediately grasp the meaning of acronyms and technical phrases without leaving the page.

Because every team works differently, Smart Terms adapts to each documentation style. Support teams can use hover highlights with a blue underline and strict case sensitivity, while Product teams prefer bold yellow highlights on click. Accounting might disable highlights entirely. This flexibility ensures each department presents terminology in a way that fits its workflow and audience, all without affecting other spaces.

Centralizing terminology also reduces redundant work. When a team updates a term, whether the meaning shifts, a new synonym is added, or an acronym needs clarification, the change is automatically applied everywhere. Teams no longer lose time re-explaining definitions or correcting misunderstandings. Everyone stays aligned with less back-and-forth, fewer errors, and far more consistency across documents.

Smart Terms also supports multilingual documentation, which is especially helpful for international teams or client-facing spaces. Terms can be translated into multiple languages and highlighted based on the reader’s preferences, or highlighted in all available languages at once. This makes joint work across regions far smoother by removing language barriers and ensuring everyone understands terminology in their own language.

In environments where documentation is central, like engineering wikis, support knowledge bases, product manuals, and onboarding guides, Smart Terms enhances how teams consume information. Readers get definitions right in the flow of the page, authors avoid cluttering documents with extra explanations, and admins maintain terminology centrally. By combining rich definitions, customizable highlighting, and multilingual support, Smart Terms turns Confluence into a clearer, more aligned workspace where terminology confusion disappears.

With Smart Courses LMS for monday.com, you can transform your existing workspace into a complete training and exam platform, without adopting a separate system, managing multiple logins, or paying for an entirely independent LMS.

If your team already runs projects, onboarding, HR workflows, and daily operations inside monday.com, chances are you’ve already wondered:
“Can we also train our teams here?”

“Can it function as our LMS?”

Short answer: Yes. And it works even better than you think.

This article explains how monday.com’s structure naturally supports learning, how Smart Courses uses that same architecture to enable training, quizzes, and analytics, and why integrated learning often outperforms a standalone LMS.

1. Is monday.com naturally designed for learning?

Even though monday.com is widely known as a work management platform, its fundamental building blocks mirror the elements you would expect to find in a modern LMS. Boards, for example, are essentially structured databases, the perfect place to organize courses, store training categories, or manage compliance requirements. Items, which normally represent tasks or projects, can easily represent training modules, lessons, assessments, or learning paths.

monday.com also gives teams a flexible visual environment.

Views allow you to present information in various formats, which is incredibly useful for displaying training dashboards or course libraries. The platform’s built-in permissions and automation capabilities also behave much like those in a traditional LMS. You can control who can access what, automatically assign training when someone joins a team and more.

All of these components, structured content, configurable views, workflow automation, and strong reporting, are the exact foundations an LMS requires. Smart Courses builds on that familiar architecture to add the missing layer: the training experience itself.

2. How Smart Courses builds a complete LMS for monday.com right inside your workspace?

What makes Smart Courses LMS truly powerful is how effortlessly it blends into monday.com. Instead of introducing a new interface or external dashboards, the app uses the same visual patterns, the same navigation style and the same workspace flow users are already comfortable with.

Smart Courses LMS for monday.com board view

This creates a learning environment that feels natural rather than foreign.

Course creation follows the same intuitive logic as building anything else on monday.com. You can assemble training programs by combining videos, PDFs, audio files, questions, and interactive elements.

This content can be grouped or sequenced into sections, allowing you to design structured learning experiences without dealing with the complexity of traditional LMS builders. Everything appears inside the item view, which becomes a dedicated training screen customized for each course.

Smart Courses LMS for monday.com also adds full assessment functionality. Exams can include questions such as multiple-choice, ordering, and essays… Since everything runs on monday.com, learners don’t need to open external tools. Their progress, attempts, scores, and completion dates are recorded directly in the workspace, turning your boards into a live learning database.

Smart Courses LMS for monday.com insights

Because the app is built natively on monday.com, reporting becomes exceptionally easy. Managers can track performance without leaving their monday.com, filtering results by user, reviewing completion rates, or analyzing quiz performance in real time. The data is always available and always up-to-date.

3. Why does an integrated LMS for monday.com outperform a standalone one?

Standalone LMS platforms often struggle with adoption, not because they lack features, but because they exist outside the daily workflow.

Asking employees to log into another system, with another interface, another set of notifications, and another learning curve, inevitably creates friction. Completion rates drop, engagement weakens, and training becomes something people do in addition to their work, rather than as part of it.

Smart Courses LMS for monday.com catalog view

By keeping training inside monday.com, Smart Courses eliminates this friction. Employees already spend their day on the platform; their tasks, communication, and goals already live there. When training appears in the same space, it becomes an organic part of their routine. This significantly improves completion and reduces the mental overhead of switching tools.

Integrated learning also means integrated workflows. With Smart Courses, training becomes part of the full lifecycle of work: when an employee joins, they automatically receive their onboarding courses; when a user joins a new team, new training appears; when a compliance cycle resets, reminders fire automatically.

You also avoid the complexity of maintaining multiple systems. Instead of having an LMS for learning, monday.com for projects, and separate reporting tools, Smart Courses consolidates everything in one place. The result is a simpler, more coherent, and more cost-efficient environment that scales with your team.

In essence, Smart Courses makes not just a platform for managing training, but a platform for growing people, and it does so with the same clarity, structure, and simplicity that users already love.
